01     Bookings for properties described as The Scott, The Scholar, Summer Accommodation, Holland House Holland House and Chancellors Court are located at Pollock Halls, 18 Holyrood Park Road, Edinburgh, EH16 5AY; Tel +44 (0)131 651 2001. Bookings made for KM Hotel and KM Apartments are located at 5-9 Richmond Place, Edinburgh, EH8 9VE; Tel +44 (0)131 651 2117.

02     Motor Vehicles: limited car parking is available at Pollock Halls at no charge; permits are provided on arrival but these are only valid for Pollock Halls. There are no parking options at KM Hotel and KM Apartments.

03     Insurance & Personal Property: please ensure you insure your personal effects as the University cannot accept responsibility for any loss or damage to personal property.

04     Deposit and Cancellations: credit/debit card details must be provided to make a booking and full payment is due at time of booking. All cancellations must be confirmed in writing or by e-mail to reservations@ed.ac.uk. Cancellation refunds will be made in line with your booking confirmation terms.

05     Any amendment to confirmed bookings must be made to UOE Accommodation Ltd by email to reservations@ed.ac.uk or by telephone on +44 (0)131 651 2007. For any reduction in the total price of the booking, UOE Accommodation Ltd will not refund the difference; for any increase in the price of the booking, the difference will have to be paid by credit/debit card in advance to secure the changes. No guarantee can be given that, once a booking is confirmed, it can be amended.

06     Bedding: all towels and bed linen are supplied and changed as necessary.

07     Animals: no animals are allowed on University premises with the exception of guide dogs; if you are bringing a guide dog, please notify UOE Accommodation Ltd at time of booking.

08     Fire Regulations: guests are required to familiarise themselves and comply with all fire regulations and evacuation procedures at the property where they are staying. Any malicious activation of fire alarms will result in a penalty being incurred.

09     Arrival and Departure Times: this and other information will be provided as part of your booking confirmation documents.

10     Smoking: please note that there is a non-smoking policy at all our properties.

11       Please note that due to the number of bedrooms we administer and the size of our site, we are unable to accept any deliveries or mail for guests before or during their stay without prior notice of its arrival. If you are expecting mail to be delivered to us in your name, please notify us in advance by emailing reservations@ed.ac.uk quoting your reference number and the nature of the item to be delivered.


01     Definition: the group/family occupying the property/flat are liable jointly and severally for these Conditions of Let.

02     Cancellation: All cancellations must be made in writing. Cancellations made more than 8 weeks prior to arrival will be charged at £100 per flat per week. Cancellations made less than 8 weeks prior to arrival, will be charged in full.

03     Terms of tenancy: the property is let in accordance with the terms of the Rent (Scotland) Act 1988 in that the subjects of let are normally reserved for the use of students of the University of Edinburgh under Schedule 4, paragraph 7 (1) of that Act and that possession may be recovered under Schedule 5, Ground 4 of this Act. The granting of a holiday let does not create a protected tenancy. The property is let for residential purposes only and the tenancy cannot be assigned or sub-let.

04     Parking: parking is available at some of our sites for cars only, no transit vans or mini buses. A permit is issued, it is only valid for the site shown on the permit and not the University of Edinburgh as a whole.

05     Special requests: we will do our best to accommodate any special requests from guests; however, we cannot guarantee this. Please contact the Reservations Team directly to discuss any special requirements you may have. It is important that you advise us of any guests with mobility issues to allow us to provide the best possible service.

06     Moving of flats: on very rare occasions, normally due to circumstances out with our control, the site you have reserved could become unavailable. On these occasions we reserve the right to move your booking to another site within our stock of self-catered accommodation and we will endeavour to ensure the new accommodation is of a similar standard to that you have booked. We will inform you of any changes in writing.

07     Insurance and personal property: please ensure you insure your personal effects, as we cannot accept responsibility for any loss, theft or damage to personal property.

08     Bedding: one x duvet, one x duvet cover, one x pillow, one x pillowcase, one x sheet, one x bath towel and one x hand towel per bed are supplied in our self-catered accommodation. No additional pillows, duvets, linen or towels can be supplied. If there is a changeover of guests during the tenancy, no new linen can be supplied. The tenants are responsible for laundering the items required; there are coin operated laundry facilities available for guests to use.

09     Animals: With the exception of assistance dogs, no animals are allowed in our self-catered accommodation.

10     Occupancy: summer self-catered accommodation may not be occupied by more guests than there are beds in the flat. Over occupancy of any accommodation will result in immediate termination of the booking.

11     Fire regulations: guests are required to familiarise themselves and comply with all fire regulations and evacuation procedures at the property where they are staying. Any malicious activation of fire alarms will result in a penalty being incurred, including the potential immediate termination of the booking and eviction from the property.

12     Cleaning, charges and inspections: all accommodation should be left in a clean and tidy condition on departure, with all dishes washed and rubbish removed. We reserve the right to carry out routine inspections of the accommodation during your stay, any flats found to be in an unacceptable condition, could result in charges being made.

13     Smoking: please note that there is a non-smoking policy at all our properties.

14     Keys: any lost or replacement keys will be charged at £25 per key and £75 if a lock change is required.
